Organizations Renting the MHOSC:
We require that you indemnify and hold harmless Morgan Hill Youth Sports Alliance, Morgan Hill Outdoor Sports Center, and the City of Morgan Hill. You must supply three separate certificates of insurance that include the following information before renting the Complex:
1. The name of the insured must be the same as the organization renting or vending at the MHOSC.
2. The current policy dates must encompass the dates you plan to use the MHOSC.
3. The certificates must state clearly that Participant Liability is included.
4. A separate certificate shall be issued naming each of the following entities as an additional insured:

Vendors:
Each vendor installing, selling or distributing products at an event taking place at the Morgan Hill Outdoor Sports Center must first supply the three certificates of Commercial General Liability insurance. The coverage must be no less than $1,000,000. The certificates must show clearly that product liability coverage is included, and must otherwise conform to the requirements above.
A Security Deposit of $100.00 per grass field and $200.00 per turf is required to cover damages, regulation violations or excess garbage removal (100% refundable if there is no cleanup or repair required.
PARKING POLICY:
MHOSC may collect $5.00 per vehicle per day for parking fees. In and out privileges will be provided. RV’s are not permitted to park in the center. Tailgating is not permitted. It is the responsibility of the Host (Tournament/Event Director) to inform their participants that there is absolutely no parking in the areas surrounding the MHOSC that are designated as “no parking” zones. All parking for the event must be within the designated parking areas.
Cars parked in the NO PARKING areas or in non designated areas of the facility may be ticketed or towed.
HOURS OF OPERATION: exceptions must be approved by MHOSC
6:30 AM – Gates open for Tournament/Event Officials and vendors
7:00 AM – Gates open for Coaches and Participants
8:00 AM – First start time for games
8:00 PM – Last start time for games under lights
10:00 PM – Gates locked, event host must have removed trash by this time
Reservation time must include time needed for set-up, warm-ups and clean-up. Rentals for groups comprised of minors (less than 18 years of age) require supervision by at least one adult and the reservation must be issued to the supervising adult, who must adhere to the insurance policies
Host must provide a Field Marshall for fields rented – INFO ON FIELD MARSHALS HERE
The Tournament/Event Director must assign a Field Marshall team to ensure the general integrity, order and well being of event/tournament participants and site grounds. Field Marshals must be easily identified on the playing fields, will be in wireless communication with the host, site security, and First Aid. A Field Marshal can manage at most two fields and be responsible for enforcing rules and regulations and any other duties as assigned by the tournament host/permit holder. This may be a coach, manager or parent of the team utilizing the fields and who will be able to monitor Host and MHOSC policies & procedures. Each event will be required to have a designated field marshall name on file for field use compliance. The field marshals play an important role in maintaining our fields and facilities.
Vendors
MHOSC will be the sole operator of the concessions facility unless waived by special agreement. Please contact MHOSC to discuss your needs and will be determined during the tournament planning process.
MHOSC will have final determination of outside host controlled vendors. MHOSC will not concede any parking or food service provisions.
Event Host is permitted the use of tents as needed to support their event, as well as an informational booth to support future event registrations. Event host shall also provide a tent for the required First Aid personnel.
If the Event Host has been granted a special vendor concession, then it is the responsibility of the Event Director to inform vendors and participants in their tournament/event of the rules governing the use of the MHOSC and enforcing said rules at their tournament/event.
FIRST AID
All events permitted for more than six fields per day are required to have a First Aid on site. MHOSC provides this service which requires use of a golf cart to transport injured, elderly, or those otherwise in need. Event host shall also provide a tent for the required First Aid personnel.
The Morgan Hill Outdoor Sports Center (or a specified portion thereof) shall be rented in accordance with all the terms of this agreement and the terms specified to the applicant named above. Failure to abide by any portion of the terms of this agreement shall be reason to retain the entire rental fee and deposit and cancel the use of the facility. Future rental opportunities may be jeopardized by failure to ensure event participant apply with MHOSC Rules and Regulations.
STORAGE OF EQUIPMENT
Nor person or group shall store, leave or otherwise allow remaining at the facility, any materials, supplies, equipment or other physical accessories without permission of the the General Manager.
CLEAN UP
Users are responsible for the clean-up of the rented space to include fields, bleacher areas, walkways, restrooms and parking lot.
This includes the picking up of all trash and depositing the trash in the dumpster provided by the parking lot, just south of the Main Building.
There will be an after-hours evening custodial service that will be responsible for the cleaning of the restrooms and in depth cleaning of the concession area as required.
Custodial needs during the day are the responsibility of the user groups
Users are responsible for the clean-up of the rented space to include fields, bleacher areas, walkways, restrooms and parking lot.
No littering or dumping allowed. Organizations are responsible for cleaning the field area after all practices and games.
Failure to comply will result in forfeiture of all or part of security deposit.

MHOSC CAN AMEND THESE RULES AS NECESSARY AND SHALL HAVE FINAL RULING OVER ISSUES OR DISPUTES. FAILURE TO COMPLY WILL RESULT IN ORGANIZATION REMOVAL FROM SITE AND POSSIBLE BARRING OF FUTURE RESERVATION OPPORTUNITIES.

Safety and Security
Report any dangerous conditions to the Field Marshall, onsite security, or MHOSC staff
User groups are asked to bring their own team/sports first aid kits and ice packs. A volunteer may be on hand to support in the first aid tent and perform basic first aid activities during tournaments, but each team is ultimately responsible for safety and first aid.
No children allowed in conference rooms, under the bleachers, in buildings or enclosures, or referee trailers
Climbing fences shall be deemed trespassing and vandalism – Field Marshalls will have control of gates to retrieve balls
Keep children off goals, fences and other gear – failure to monitor children will result in removal from the site and possible future prohibition from the MHOSC.
It is prohibited for any person to engage in boisterous, threatening, abusive, insulting, indecent or profane language or to engage in any disorderly conduct or behavior leading to a breach of the public peace and enjoyment of the facility. The General Manager and/or Event Tournament Host reserve the right to remove, or have removed, any person(s) due to abusive conduct or non-cooperative attitude.
Facility Access and Field Use
MHOSC staff or keys will be required to enter the facilities. These arrangements will be made when your are permitted. There is a refundable $50 deposit for keys.
Your use of the facility is limited to fields and facilities defined in your permit.
The General Manager reserves the right to assign fields for all events and/or to assign non-contracted fields to other groups to ensure the full usage of the facility.
The Event Host shall determine which side and boundaries for team, coaches, referees and parent/spectators shall be enforced.
PLEASE RESPECT FIELD CLOSURES & GROUND UNDER REPAIR SIGNS
When the gates on any fields are locked, the MHOSC or that subsection of the MHOSC shall be considered closed. Any use of the MHOSC when the gates are locked is considered trespassing in accordance with the City’s ordinances.
No entry onto playing fields by persons not authorized. This includes cutting across and warming up on closed fields. In order to maintain the highest standard for play, fields must be given time to recover. This policy will be strictly enforced and your cooperation is appreciated Use of closed fields can result in a team or organization’s removal from the MHOSC and may jeopardize future reservations.
DO NOT MOVE EQUIPMENT UNLESS AUTHORIZED BY MHOSC
DO NOT MOVE GOALS ESPECIALLY!!! EVEN IF YOU THINK YOU KNOW WHAT YOU ARE DOING, THIS ACTION WILL RESULT IN BANISHMENT.
To ensure the longevity and integrity of the fields, please no alterations. No additional field chalking or marking of any kind to the fields without specific written permission from the MHOSC staff. Please use cones instead.
STAY OFF WET OR FROST COVERED FIELDS The decision to close field shall be based upon field conditions, weather forecasts, and safety concerns. When fields are frosted, nobody is permitted on the fields until the MHOSC reopens the grass.
The General Manager reserves the right to cancel an event at any time due to inclement weather or any other condition deemed detrimental to the facility. The General Manager also reserves the right to postpone the start time for any games due to frost or dangerous conditions.
Prohibited Items in the Facility
No animals or pets allowed in the center grounds including the parking lot
We reserve the right to inspect any cooler for alcohol. Unfortunately, we have had a major problem during kids events with alcohol being consumed.
No vehicles, trailers, carts etc allowed on facility beyond designated parking areas without MHOSC written authorizations.
No advertisement, banners may be displayed without MHOSC authorization.
No persons shall sell, vend, peddle, or distribute any merchandise or property whatsoever, or sell tickets or solicit contributions for political, religious or other purposes within the boundaries of the facility, except as authorized by the MHOSC General Manager.
No person shall attach to the facility any materials, devices or equipment for the purpose of advertising or decorating that facility or for any other purpose without first having obtained the permission of the MHOSC General Manager.
No open fires, grills, cooking appliances or tailgating allowed on the grounds or parking areas.
SUNFLOWER SEEDS and other micro debris generators that coat their refuse with human saliva are deemed particularly loathesome and will not be tolerated in any way shape or form.
NO SUNFLOWER SEEDS!!!
No amplified sound unless authorized by the MHOSC General Manager
Golf, model airplanes, rocketry etc is prohibited without MHOSC authorization.
No bicycles, scooters, inline skates etc allowed on the fields or grounds.
No noisemakers included vuvuzelas, horns etc permitted in the center.
No fuel heaters permitted in the center.
Alcohol, illegal substances, tobacco and other forms of smoking are prohibited
No fireworks or other explosives permitted in the center.
Possession and discharge of firearms, weapons or other projectile systems are prohibited and will be immediately reported to the police.
Prohibited Items on the Turf Fields
In addition to the Center’s list of prohibited items above, the following items are further prohibited on the Turf Fields and bleacher areas due to the special nature of these facilities.
Only water allowed on turf fields – no Gatorade or halftime snacks on the turf.
Food & beverage items are allowed in spectator seating areas only
Gum, sunflower seeds, peanuts or other micro debris food waste generators are strictly prohibited.
Tobacco chewing or spitting is NOT allowed and is strictly prohibited.
No Glass containers or breakable ceramics of any kind.
No Metal Cleats
No Awnings, Tents, or shade structures unless authorized by site manager
Only Players, Coaches, managers, Referees, or official personnel including host directors or marshals shall be allowed onto the Turf Field
SHERIFF AND CITY POLICE AND OTHER CERTIFIED PEACE OFFICERS SHALL HAVE THE AUTHORITY TO WARN, EVICT, ARREST AND CITE ANY PERSON TRESPASSING OR VIOLATING CITY ORDINANCES OR DISTURBING THE PEACE.

Marshaling Overview (Grass & Turf)
A Marshal is required for each turf field rented as well as each additional exit open.
A Marshal is required for each grass field rented, and can cover two grass fields.
Marshals should be courteous and greet each each coach and head referee. Marshals should pleasantly remind visitors to clean up after themselves.
Upon Arrival
- Marshals must be on station ready to go as gates open to public.
- They must have a high visibility yellow or orange vest and a CHARGED CELL PHONE
- Ten minutes prior to opening to public, Marshals need to exchange text message numbers with Event Director, Facility Director, and the First Aid team.

- Marshal should have a pen or pencil and lost child form to facilitate possible lost child procedures

Usually, if there is a chance of escalation, the Marshal can walk out on the field and raise hands and call for a halt.

Trash Cleanup and Event Security Deposit
Marshals are to remind coaches and spectators to clean up after themselves in the provided trash cans
Marshals must alert Center staff of overfilled or fully loade4d trash and recycling cans so that they may be emptied
At end of day, Marshals shall call Facility manager to verify their fields are cleaned and undamaged for security deposit reconciliation reports.
